CUSTOMER RESPONSIBILITY:
Rented equipment is the responsibility of the customer from time of delivery or customer pick-up to the time of the equipments return.
The customer will not abuse, misuse or damage the equipment:
Keep all rental equipment away from open flame or heat sources.
Place all rental equipment on solid and level surfaces.
Do not stand on or tilt any of the rental equipment (except stage/dancefloor)
Use rental equipment for intended purposes only.
The customer shall not authorize or perform any repairs without prior approval.
Any damaged or missing items must be reported immediately by contacting (403) 259-5150 at the time of delivery, customer pick-up, or as soon as the issue is identified.
The holder of the credit card, if different from the renter is still equally responsible for all terms and conditions and responsible for any loss or damage of equipment if any occur.
In the event of an accident or incident resulting in property damage or personal injury, the customer accepts full responsibility and agrees to release and indemnify Rental Brothers from any claims or legal actions. Additionally, the customer agrees to cover any legal expenses incurred by Rental Brothers in defending against such claims.
THIRD-PARTY EQUIPMENT DISCLAIMER:
The Rental Brothers assumes no responsibility for the functionality, performance, or condition of any third-party equipment, including elevators. In the event of a third-party equipment malfunction during delivery or pickup, we are not liable for any associated damages, delays, or repair costs. The use of elevators is done at the client's discretion and risk. Malfunctions or failures of building infrastructure do not constitute grounds for fault, liability, or compensation from The Rental Brothers.
LOADING AT YOUR OWN RISK:
All loading, including assisted and unassisted is done so at customers own risk.
The Rental Brothers is happy to assist if needed, but shall not be held liable for any damages sustained to customer vehicles or persons during or due to improper loading.
DELIVERY/PICK-UP:
If delivery prices are not itemized on the contract, it is assumed the order is for customer self-pickup, or more details are needed to price out delivery, such as an address.
Delivery date is estimated. Delivery may occur 1-2 days prior to the estimated delivery date for standard delivery. This excludes PREMIUM deliveries, which are priced at an additional cost. Premium deliveries include: Same-day deliveries, Delivery or Pick-Up with narrow time windows and Delivery or Pick-Up outside regular hours (outside Monday - Friday, 8:00 AM - 5:00 PM).
Standard Delivery includes drop off at van-side or near van-side on ground level.
Additional fees apply if items need to be moved over long distances, rough terrain, stairs or via elevator.
DELIVERY OF MARQUEE/POLE TENTS:
Setup/takedown of tents are INCLUDED in tent prices.
Delivery occurs up to 5 days prior to event day (unless paying additional costs for specific date/time).
Pickup-occurs up to 5 days after the event day(unless paying additional costs for specific date/time).
Crew requires driving access to tent setup location & 24/7 right-of-access to tent staging area.
Grass installations must mow lawn prior to set-up.
SETUP/TAKEDOWN DURING DELIVERIES:
Unless itemized as a rental item on the contract, setup and/or takedown is NOT INCLUDED (with the exception of marquee frame and pole tents).
We very much appreciate items being stacked and ready for pickup similar to how they had been dropped off.
Takedown charges will automatically apply at 20% of the total job cost if items are not dismantled or neatly stacked and ready for pickup.
WEATHER:
For outdoor events, please plan accordingly.
Cancellation due to weather conditions are not subject to any refunds. Cancellations made 14 days prior to a client's event are subject to receive full credit, which can be used for future rentals, with no expiration date.
Rental items, especially tents, are reserved regardless of weather conditions, and cancellation terms apply as stated below.
MODIFICATIONS:
Additions to Signed Orders
Standard Additions: Additions to signed orders can be made up to 14 days prior to delivery or pick-up, provided the requested items are available.
Last-Minute Additions: We will do our best to accommodate additions requested less than 48 hours before delivery or pick-up; however, fulfillment of such requests is subject to availability and logistical constraints.
Reductions to Signed Orders
Standard Reductions: Reductions made up to 14 days prior to delivery or pick-up will receive full credit.
Late Reductions: Any reductions requested less than 14 days prior to delivery or pick-up are non-refundable and will receive no credit.
Limitation on Reductions: No reduction shall exceed the total amount of the retainer payment received.
UNUSED ITEMS UPON RETURN:
Refunds or credits will not be issued for any rental items returned unused. Once items are reserved, they are allocated exclusively to the client’s order and removed from available inventory for the duration of the rental period. Preparation, handling, and logistical resources are committed regardless of usage. Accordingly, all items that leave our facility are considered rented and billable in full.
RETURNS/CLEANING:
All items are to be returned properly cleaned and in the same order they were received.
A minimum $35 charge is automatically applied to the rental fee if equipment is returned in unclean condition.
BBQs, Griddles, Concessions and Carpets are exempt, as they are priced with a cleaning fee attached.
All dinnerware, silverware, glassware must be thoroughly scraped and rinsed to remove all food residue. They should be repacked in their original containers and returned in the same condition and packaging as they were provided. Failure to meet these requirements may result in cleaning charges.
Linens returned with excessive staining, damage, or signs of gross negligence may be subject to cleaning fees or full replacement charges, at the discretion of The Rental Brothers. This includes, but is not limited to, burns, mold, wax, permanent stains, rips, or misuse beyond normal wear.
Late returns: items not returned by the agreed-upon return date specified in the contract will incur late fees, calculated per item and for each day the item is overdue.
POP-UP TENTS:
Pop-up tents must be taken down prior to incoming inclement weather with strong winds.
Do not leave tents unattended for extended periods of time.
Please do not remove the tent top from the frame at takedown.
DAMAGE PROTECTION:
A damage protection waiver (DPW) will be automatically added per contract on all rental items (unless declined). If declined, client is subject to any replacement costs for damaged items.
The DPW will cover either the first $500 or $2500 of broken or damaged equipment, depending on the size of the quote.
The DPW does not cover the cost of lost or stolen items. Replacement charges will be refunded if missing items are returned within 30 days.
The DPW does not cover the cost of loss or damage of items due to improper handling by client transportation, courier or other related companies outside of The Rental Brothers.
DAMAGE PROTECTION EXCLUSIONS:
The Damage Protection Waiver (DPW) does not cover damage caused by negligence, misuse, or abuse. This includes, but is not limited to:
Burns (from candles, cigarettes, chafing fuel, etc.)
Permanent stains (such as wax, ink, wine, mold, or food dye)
Damage caused by stairs, rough handling, or improper use
Clients remain financially responsible for any such damage, even if the DPW has been purchased.
LIMITATION OF LIABILITY:
The Rental Brothers shall not be held liable for any loss, damage, injury, or expense to persons or property arising out of or in connection with the use, misuse, or malfunction of any rental equipment, whether such loss results from defects in the equipment or otherwise. The Rental Brothers make no warranties, express or implied, regarding the suitability or fitness of the equipment for any particular purpose.
RESERVATION POLICY:
Rental items are not considered reserved until the following conditions are met: (1) the quote has been formally approved, (2) the rental agreement has been signed, and (3) a non-refundable retainer payment of approximately 25% of the order total has been received. Until all three requirements are fulfilled, availability of items cannot be guaranteed, and the order remains unsecured.
QUOTE VALIDITY & AVAILABILITY:
Tentative quotes reflect item availability only at the time the quote is issued. Rental items are not held or guaranteed until the quote is approved, the rental agreement is signed, and the required retainer payment is received. Quotes signed or approved after a delay are subject to current availability, and The Rental Brothers reserves the right to modify the order based on inventory status at the time of booking
PAYMENT POLICY:
A 25% non-refundable deposit guarantees your reservation, although cancel within 14 days and receive full credit toward any future events.
Full payment is due 14 days before your scheduled Delivery or Self Pick-up.

CANCELLATION POLICY:
Deposits and payments are not refundable.
Cancel within 14 days to receive FULL CREDIT towards future events. There are no exceptions to this.
For Marquee/Pole Tents, Washroom Trailers, Porta Potties, and Handwash stations, a minimum 30 days’ notice is required for cancellations or reductions to ensure availability for other clients and to cover associated planning costs.
